Who is responsible

aspenirb.com is operated by an independent consultation practice that handles the IRB process for professionals in Aspen University programs. The practice is not affiliated with Aspen University. Questions about this page go to hello@aspenirb.com.

What is collected, and when

The intake form

Your name if you give it, email address, phone number, the stage your project is at, the note you write, and the address of the page you sent it from. Sent when you press the button, and not before.

The live chat

The messages you type and the page you typed them on, held under a session identifier stored in your browser’s session storage so the conversation survives a page change. Anything you choose to leave — an email address, a phone number — is kept with the conversation.

The seasonal offer

If you claim it: name if given, email, phone, and the month. The fact that the offer has been shown is kept in session storage so it is not shown twice in one visit.

The inspection notice

The email address you subscribe with, and the page you subscribed from.

The file

The documents you later send by email for the free application review — the plan, the application, the consent, letters, certificates, the board’s correspondence. These contain what you put in them; we ask that you send the file as it stands and do not add anything for our benefit.

Server logs

The hosting platform keeps standard access logs — address, page, time, browser — for operating and defending the site, on its own retention terms.

What is not collected

There are no advertising pixels, no third-party analytics, and no tracking cookies on this site. The only things stored in your browser are the session-storage flags described above, which expire when the tab closes. Fonts are loaded from Google Fonts; loading them sends a request to Google’s servers, subject to Google’s own terms. Nothing else leaves the page unless you send it.

Why it is collected, and where it goes

To reply to you, to read your file and write the findings, to quote the work if the file needs it, and to carry the work you accept. Form, chat and offer submissions are delivered to the lead-handling system the practice operates for its own use; email goes to the practice’s mailbox. The file is read by the inspecting party and held under access control. None of it is sold, rented, used for advertising, or shared with Aspen University, any institutional review board, any research site, or any other third party, except where a law compels disclosure.

How long it is kept

Enquiries and files are kept for as long as needed to do the work and to answer the board on your behalf where that is what you asked for, and then for a reasonable period in case the file returns; after that they are deleted. You may ask for deletion sooner at any time, and a file whose owner does not proceed is deleted on request without question. Newsletter addresses are kept until you unsubscribe.

Your choices

• See what we hold about you, have it corrected, or have it deleted: write to hello@aspenirb.com.
• Leave the inspection notice: reply to any notice with the word “unsubscribe” and you are removed.
• Use the site without forms or chat: every word of content is readable with the widgets closed and scripts disabled.

Children

This site is written for professionals in graduate and doctoral programs and is not directed at children. We do not knowingly collect information from anyone under eighteen.

Changes

When this page changes, the revision date at the top changes with it. Subscribers to the inspection notice are told when a change affects what we keep or why.
